Job Overview:
As our Senior Payroll and Personnel Specialist, you'll play a key role in ensuring smooth and accurate payroll operations while keeping our people processes running efficiently. You'll be the go-to person for all things related to payroll, employee records, contracts, benefits, and medical insurance, making sure everything aligns with both local and UK regulations. We’re looking for someone with a deep understanding of payroll systems, tax requirements, and labor laws who can handle the details without losing sight of the bigger picture, creating a seamless experience for our team.
Key Responsibilities:
- Handle the end-to-end payroll process, ensuring everyone gets paid correctly and on time.
- Keep payroll data up to date using ZenHR, from new hires and promotions to terminations.
- Oversee payroll across our offices, including working with external partners to handle UK payroll and staying on top of PAYE regulations.
- Ensure compliance with all tax and social insurance obligations in both local and international contexts.
- Manage employee files, contracts, and all related paperwork, making sure everything is organized and up to date.
- Coordinate with external parties (such as social insurance offices and tax institutions) to handle administrative tasks smoothly.
- Handle contract renewals and updates, keeping everything in order for our growing team.
- Administer and manage employee benefits, including medical insurance, ensuring all employees understand and can access their benefits.
- Handle requests for additions and removals related to both social and medical insurance for new and departing employees.
- Manage the yearly subscription and renewals with our medical insurance provider, ensuring compliance and competitive coverage.
- Ensure the company is always in compliance with labor laws and tax regulations.
- Stay informed of changes in legislation and proactively adjust payroll processes to match.
- Prepare and provide reports for internal management and external audits when necessary.
What We’re Looking For:
- +5 years of experience in payroll and personnel management, with a solid understanding of payroll systems, tax regulations, and benefits administration.
- Experience working with UK payroll processes and an understanding of PAYE regulations is a plus.
- Proficient in payroll systems (experience with ZenHR is a bonus) and well-versed in local labor laws, tax, and social insurance regulations.
- Comfortable handling sensitive data with attention to detail and confidentiality.
- Strong problem-solving skills and the ability to manage multiple tasks in a fast-paced environment.

- You should be a great communicator, able to work with both internal teams and external partners to get things done.
